7 Signs Your Business Has Outgrown Spreadsheets
By LPOINT · · 5 min read
Excel and Google Sheets run more businesses in Mangalore than any software product. They are flexible, cheap and everyone knows how to use them. But there is a point where the spreadsheet starts costing more time than it saves. Here are the signs we see most often.
1. Nobody is sure which file is the latest
"Stock_final_v3_updated (2).xlsx" is a warning sign. When several people keep their own copies, decisions get made on old numbers.
2. The same data is typed more than once
An order is written in a register, typed into a sheet, then typed again into Tally. Every copy is a chance for a mistake and an hour of someone's day.
3. Monthly reports take a day to prepare
If someone spends a full day each month pulling numbers together for the owner, that report should be a button.
4. You cannot control who sees or changes what
Spreadsheets make it hard to let a salesperson see their own leads but not everyone's, or to stop someone accidentally deleting a column of prices.
5. Work is coordinated over WhatsApp
Approvals, task assignments and attendance spread across group chats are impossible to track or audit later.
6. The file is slow, huge or breaks
Tens of thousands of rows, long formulas and linked sheets eventually become fragile. One wrong paste can break months of work.
7. Customers ask for things you cannot provide
Order status, online booking, invoices on demand — customers increasingly expect self-service that a spreadsheet cannot offer.
What to do first
- List the one process that causes the most pain — usually orders, stock, attendance or follow-ups.
- Check whether a ready-made tool handles it well. Often one does; see our ERP vs custom software guide.
- If not, build a small, focused system for that one process before trying to replace everything.
For example, we built TeamTrack for our own team when tracking who was doing what over chat and sheets became unmanageable: staff clock in, managers assign tasks, and daily reports write themselves. If something similar would help your business, see our custom software development service.
